Store inventory

Inventory is the quantity of a particular product that you have immediately available for sale. Under this menu, you can manage your stock by variant. 
Choose whether to track your inventory and configure settings related to your stock type, basis for stock deduction, available stock, and minimum stock level.
If you have more than 1,000 products and/or options, unexpected errors might occur while loading the entire list in the admin page.

Setting up inventory

You can set up inventory when you add or edit your products. Or you can go to Products>Inventory  to change the settings by inventory types.

In the Inventory menu, you must click Save button on the top right corner of the search results to reflect the changes.

You can set up the following items.

  • Enable inventory tracking
  • Stock type
  • Basis for stock deduction
  • Available stock
  • Minimum stock level
  • Out of stock icon
  • Display status
  • Product status

Basis for stock deduction

Choose when to adjust your inventory after a product is sold.
Upon order: Inventory is adjusted based on the number of products ordered. Therefore, products for unpaid orders, including bank transfer or virtual accounts, are also deducted from the inventory.
Upon payment: Inventory is only adjusted once the orders are fully paid. Therefore, products for orders placed by bank transfer or virtual account must be paid before they can be deducted from the inventory.

Note

Products added to carts will not affect the inventory in any way.

Minimum stock level

Setting a minimum stock level ensures that you can stably ship out the product for every customer order. Stock is displayed in the list so you can understand the product's current stock level before it goes out of stock. If we compare this to a traffic light, the out of stock status is the red light and the minimum stock level is the yellow light. You must order or manufacture products that are in the minimum stock level list, depending on their sale status.

1. Go to Products>Inventory>Minimum stock level to add or edit products.

2. Tick the box for products to which you want to add the out of stock icon.

3. Click Save in the top right corner of the list.

If you have set a minimum stock level, products with a lower stock level than the minimum stock level will show up in Products>Inventory>Minimum stock level.

Out of stock icon

Display out of stock icons for sold-out products on your storefront.

1. Go to Products>Inventory>Out-of-stock products.

2. Tick the box for products to which you want to add the out of stock icon.

3. Click Save in the top right corner of the list.

Note

If you enable the out of stock icon, sold-out products will be shown as out of stock and customers won't be able to buy them. If you do not enable the out of stock icon, customers can still purchase those sold-out products and the corresponding inventory count will be negative. For products with options, all the options must be sold out or configured as "Not for sale" to be displayed as out of stock.

Total sales volume

Displayed numbers: Total sales throughout all stores (Total sales for the current store only)

The sales figure will be counted based on the same basis as Orders>Analytics>Products.
These only include products for paid orders including exchanges and additional orders.
Number of products refunded for cancellations, returns, exchanges will be subtracted from the total sales volume. (A negative number may be displayed.) Total sales volume is updated every 15 minutes.

Editing your whole inventory - ① Bulk edit settings

Adjust the stock level of multiple variants by the same amount.
1. Search for the variants you want to edit.
2. Select the products.
3. Click Bulk edit settings.
4. Change the relevant settings and click Save.
5. Click Save in the upper right corner of the product list.

Editing your whole inventory - ② Bulk edit via CSV

Change the stock level and prices of multiple product variants in one go.

1. Select the products you want to edit and click Export as CSV.
2. In the pop-up window, select a template and click Create CSV.
3. Click Download for the CSV you created in the list below.
4. In the CSV, enter the stock level and extra charge for each variant.
5. Save your CSV as .xlsx or .xls before uploading the file.
6. Click Edit inventory and upload your CSV.
7. Edit inventory button offers the same features as the Products>Products>Manage via CSV>Edit inventory menu.

Filling in the CSV

You can add and/or edit up to 1,000 variants.
The CSV file includes a template from column A through R. Please note that the name and the order of each column must stay the same.
You cannot edit the content of Product code, Product name, Price, Variant code, Variant name, and Total sales volume. You can only adjust Inventory, Display status, and Sale status.
For products without variants, you can only edit column A to E.
Save your CSV file with the .xlsx or .xls extension before uploading it.
The three most recent files uploaded over the past 72 hours will appear in the Import complete list.
This feature is only available on Internet Explorer 11 and above.

Sub menus - Manage inventory, Out-of-stock products, Minimum stock level

The Inventory menu includes Manage inventory, Out-of-stock products, and Minimum stock level.

Minimum stock level

You can search and manage products with stock levels lower than the minimum stock level.
Products (variants) with a stock level that is equal to or lower than the minimum stock level will appear in this list.
